Please review the policies governing vehicle rentals, reservations, payments, and passenger safety for PT Patel Travels.
1. Booking & Reservation Policy
To ensure a seamless travel experience, all vehicle bookings are subject to the following conditions:
- Advance Payment: Reservations are confirmed only upon receipt of the agreed advance payment amount.
- Vehicle Allocation: We make every effort to provide the exact vehicle model selected. In rare situations involving mechanical repairs or unexpected maintenance, an equivalent or upgraded vehicle category will be provided.
- Booking Confirmation: Confirmation details, including driver contact numbers and vehicle registration numbers, will be shared prior to the journey start time.
2. Pricing, Tolls & Extra Charges
Our pricing structure is designed to be transparent with clear inclusions and exclusions:
- Included Charges: Standard rental quotes include vehicle hire and driver allowances for the designated route/duration.
- Excluded Charges: Toll taxes, state permit taxes, border taxes, parking fees, and driver night charges (if applicable) are paid directly by the client unless explicitly stated as inclusive in the final package quote.
- Extra Kilometers & Hours: Any usage exceeding the agreed route limit or rental duration will incur extra per-kilometer or hourly charges as per current tariff rates.
3. Cancellations & Refund Policy
In the event that you need to modify or cancel your booking, the following terms apply:
- Cancellations made well in advance of the pickup time may qualify for partial refunds or booking date adjustments.
- Cancellations requested within 24–48 hours of scheduled departure may result in forfeiture of the advance booking amount to cover vehicle allocation costs.
- No refunds are provided for late arrivals, missed trips, or premature journey terminations requested by the customer after trip initiation.
4. Passenger Responsibilities & Code of Conduct
For the safety, comfort, and protection of all passengers and crew:
- Prohibited Substances: Smoking, consumption of alcohol, or illegal substances inside the vehicle is strictly prohibited under government transport rules.
- Vehicle Care: Passengers are expected to treat the vehicle interior and amenities with care. Any damage caused to seats, upholstery, sound systems, or AC units will be billed to the renting party.
- Luggage Limits: Passengers must adhere to safe luggage capacity limits. Carrying hazardous or restricted goods inside the vehicle is strictly forbidden.
5. Driver Duty & Route Policy
Safety is our top priority for all group travel dispatches:
- Maximum Driver Hours: For long-distance trips, drivers must be provided adequate rest periods to adhere to safety regulations and avoid fatigue.
- Route Navigation: Drivers will follow optimal and safe highway routes. Drivers reserve the right to decline travel on unsafe roads, illegal parking zones, or flooded routes.
6. Limitation of Liability
PT Patel Travels is not liable for delays, rerouting, or interruptions caused by unpredictable factors, including heavy traffic congestion, road blockades, extreme weather conditions, or unforeseen vehicle breakdowns. In case of mechanical breakdown, a replacement vehicle will be arranged at the earliest opportunity.
